A fleet’s insurance submission should tell one consistent story across authority records, driver schedules, equipment, mileage, cargo and safety practices. Use this checklist before renewal, expansion or a market review.

Verify the fleet profile

  • Legal entity, USDOT and MC information
  • Current operating states, radius and terminals
  • Vehicle and trailer schedules with accurate VINs and values
  • Complete driver roster and commercial driving experience
  • Commodities, contracts, annual mileage and revenue

Review safety controls

  • Driver qualification and onboarding procedures
  • MVR monitoring and violation response
  • ELD and hours-of-service oversight
  • Vehicle inspection and preventive-maintenance records
  • Accident reporting, investigation and corrective action
  • Cargo securement and specialized training where applicable

Explain changes

Prepare a concise explanation for rapid growth, new authorities, added states, new commodities, driver turnover, inspections, violations or prior losses. Include corrective measures and supporting records where appropriate.

Match insurance to contracts

Review liability and cargo limits, additional insured requirements, trailer interchange, reefer breakdown, physical damage and any shipper or broker wording before selecting coverage. Contract requirements do not automatically create coverage.

Final eligibility and terms depend on underwriting and carrier approval. This checklist is general information, not legal or safety advice. Call 1-877-214-8848 or request a preliminary trucking rate indication.
